Sound familiar

Why a county is harder to inventory than a town

A county owns two kinds of assets: the ones the GIS layer already knows about, and the ones only a filing cabinet, binder or an individual knows about. Most systems make you pick which of the two to keep properly.

The road inventory and the building inventory never meet

GIS based assets live in the mapping system and non GIS based assets live in a spreadsheet, so nobody can answer what the county owns without opening both.

The grader gets serviced when it stops

With nothing setting the schedule off meters, mileage or elapsed time, maintenance is reactive by default and the overtime is where the road budget quietly goes.

Every job costs a trip to the shop

The work gets written on paper at the culvert and typed up at the shop hours later, and the drive back is where the afternoon goes.

The supply bin is counted by eye

Parts and supplies are checked by walking the shelf, so a repair stops halfway while somebody works out whether the county actually has the part.

The resurfacing ask has nothing behind it

Labor, inventory and maintenance costs sit in three places, so the ask for a resurfacing programme or a replacement grader reaches the board on assertion rather than on data.

There are no county benchmarks to argue from

Performance trends, labor hours and productivity get rebuilt by hand the week the budget meeting lands, if anybody has time to rebuild them at all.

Operations Management Software for Counties

NovoGov county asset management software gives a county one register for GIS based assets (roads, signs, bridges, storm drains) as well as non GIS based assets (buildings, fleet, equipment, etc.), and tracks their installation or maintenance dates and conditions, schedules repair jobs, and logs work performed against each one. Some counties call this county government asset management or county public works software; the job is the same either way.

It is part of our Public Works Operations Management system, and it runs all from one convenient cloud-based system (in the office or with your phone/tablet out in the field). Our asset management software is built for the small to mid-sized county rather than for the large ones.

The county register

One register, whether it is on the map or not

Complete asset visibility, with the ability to see work order history, inspections, maintenance costs and more. Geotag Assets to display on a map, define asset icons, access Map Layers, and add Assets and related Work Orders from the map, so the culvert and the courthouse sit in the same system. Powerful infrastructure asset management can be used from anywhere on any device.

  • Work order history and inspections
  • Roads, signs, bridges, storm drains
  • Buildings, fleet and equipment too
  • Asset icons and map layers

Out on the county

Logged at the culvert, with or without a work order

A county crew does not need a work order to record its work. Log what was done straight against the road or the asset from a phone: twelve potholes filled on three roads, or eight hours of storm cleanup and the equipment it took. Routes are handled in the same system too. When a job does call for a work order, the phone handles that as well. Create, edit, search, map, and track work orders in real-time on your phone and reduce or eliminate the back and forth trips to the shop. Paperless, streamlined communication and forget wasting time getting back to the office, simply edit, update, and close work orders in the field. Mobile App with Barcode Scanning of Assets and Parts Inventory, so the tag on the grader and the tag on the supply bin read the same way.

  • Work logged with or without a work order
  • Routes handled in the same system
  • Barcode tags on vehicles and bins
  • Parts inventory scanned, not counted

The county budget

The numbers a board will actually act on

Make decisions on data, by exploring labor, inventory, and maintenance costs. Use information to spot performance trends, monitor labor hours, track productivity, materials, and set county benchmarks for budget meetings. The Novo Solutions asset management platform will provide the summary and details needed to justify budget decisions.

  • Labor, inventory and maintenance costs
  • Resurfacing and replacement, justified
  • Performance trends and labor hours
  • County benchmarks for budget meetings

One system, five departments

Track and maintain assets across multiple county government departments

Five departments, one register, and one work history behind all of them.

What switching looks like

Going live without losing the inventory

The county keeps running the whole time. Nothing gets turned off until the new system is running.

1. Scope it

We map the asset types the county actually owns and which department owns each one.

2. Configure it

Your customizable forms, fields, email templates, charts, and reports are set up around how you already work.

3. Train the team

An assigned implementer walks your office and field staff through the parts each of them will use.

4. Go live

Crews log work in the new system and the asset record becomes the system of record.

Questions we get

County Asset Management FAQ

Any county government asset. The ones that sit on the map and the ones that do not, in one register rather than two.

Yes. One system can have multiple permissions for multiple departments, so each one works in what belongs to it while the county still reports across all of them.

Yes. Create unlimited, automatic meter, mileage, or time-based tasks that include procedures to set routines, balance workloads, and gain valuable insight.

Yes. Create assets, update assets, and add location information at the office or out in the field, from a phone or a tablet, so a job does not wait for somebody to get back.

Yes. Geotag your assets and integrate with ESRI GIS, and what you tag carries its own icons and map layers alongside the layers your GIS team already maintains.

By putting the numbers behind it. Exploring the costs is what helps you justify requests for road resurfacing or equipment replacement, so the ask arrives as evidence rather than as an opinion.

Yes. Create the forms you want, when you want them, without technical support. Choose from 60+ pre-defined fields, or create your own for ultimate usability, scalability, and flexibility.

No. A county crew can log the work it did straight against the road or the asset, with the hours, equipment and materials, and use a work order when the job calls for one.

Pricing depends on which departments are involved. Ask for a quote using the form below and we will put together options for your size of county.

A working session on your own county, not a slide deck. We will show you a culvert and a courthouse in the same register, a day of work logged from a phone without a work order, and what the cost report looks like the week the board meets.
